About the RoleWe are looking for an organized, proactive, and dependable Office Administrator to support the smooth day-to-day operations of our tutoring centre. This is a hands-on, on-site role suited to someone who enjoys a varied workday and takes pride in keeping things running efficiently behind the scenes.Key ResponsibilitiesReception & Front Desk- Greet students, parents, and visitors warmly and professionally- Answer phone calls, respond to messages, and manage general enquiries at the front desk- Maintain a tidy and welcoming reception area at all timesEnquiry Management- Handle incoming enquiries from prospective students and parents via phone, WhatsApp, or walk-ins- Record enquiry details, follow up proactively, and coordinate with the academic team for conversions- Maintain an updated enquiry tracker and report status regularlyScheduling & Coordination- Manage class timetables, teacher schedules, and room allocations- Coordinate between teachers, students, and parents for session changes, cancellations, or rescheduling- Send reminders and updates to students and parents as neededAttendance Tracking- Record and maintain daily student and staff attendance accurately- Generate attendance reports and flag irregularities to the managementMarks Entry- Enter student assessment scores, test results, and progress data into the system accurately- Assist in preparing progress reports for students and parentsData Entry & Record Keeping- Maintain up-to-date student files, enrolment records, and administrative documents- Ensure all records are organised, accurate, and easily retrievableBilling & Basic Accounts- Generate fee invoices and share them with students/parents on time- Track fee payments, follow up on outstanding dues, and maintain payment records- Assist in preparing basic financial summaries for management reviewStock Keeping- Monitor and maintain inventory of stationery, study materials, and office supplies- Raise purchase requests when stock levels are low and maintain a stock registerRequirements- Minimum qualification: 12th pass or a Diploma / Degree in any field (Commerce background preferred)- Prior experience in an administrative, front office, or coordination role is an advantage- Proficiency in MS Office (Word, Excel) or Google Workspace (Sheets, Docs, Drive)- Good communication skills in English and Tamil- Robust attention to detail, especially for data entry and record keeping- Friendly, professional demeanour with a student- and parent-first attitude- Ability to multitask and manage priorities in a busy environmentNice to Have- Prior experience working in a school, coaching centre, or tutoring environment- Familiarity with basic accounting or billing software- Experience handling WhatsApp Business or similar communication tools for enquiriesWorking HoursPart-time hours — to be discussed based on centre schedule.
